US invoices use sales tax instead of VAT, but the structure is similar: subtotal, tax, total.

Adding VAT vs extracting VAT

Two calculations, often confused:

Add VAT to net (tax-exclusive pricing):

  • Net £100 + 20% VAT = £120 gross
  • VAT amount = £20

Extract VAT from gross (tax-inclusive pricing):

  • Gross £120 ÷ 1.20 = £100 net
  • VAT amount = £120 − £100 = £20

VAT on quotes vs invoices

Sales teams quote tax-inclusive prices to customers. AP teams verify tax on vendor invoices before payment. Both need accurate math:

Common AP verification errors

  • Approving gross total without checking VAT rate matches the vendor's country
  • Missing reverse-charge VAT on cross-border B2B services
